This policy explains what personal data KaiVoy collects when you use https://kaivoy.com, why we collect it, who we share it with, and what you can ask us to do with it. It applies to inquiries sent through our website, by email or by messaging apps, and to visitors browsing our catalogue.
1. Who we are
This website is operated by 福建 KaiVoy 科技有限公司, a company registered in the People’s Republic of China, with its registered address at 10 Longteng South Road, Xinluo District, Longyan, Fujian, China. You can reach us at sales@kaivoy.com or +86 158 8039 5890.
For the purposes of the EU General Data Protection Regulation (GDPR) and similar laws, we act as the data controller for the personal data described below.
2. What we collect
- Inquiry details you submit: name, company, business email, telephone or messaging number, country, product interest, quantities, destination port, drawings or photos you attach, and anything else you write in the message.
- Transaction details if an order follows: billing and delivery addresses, purchase order references, payment references and shipping documents. We do not store full card numbers; card payments are handled by the payment provider.
- Technical data collected automatically: IP address, browser and device type, referring page, pages viewed, and the date and time of your visit.
- Communication records: the emails and messages exchanged with our sales team, kept so that quotations and specifications can be traced.
We do not ask for, and ask that you do not send, special category data such as health information, political opinions or biometric data.
3. Why we use it
| Purpose | Data used | Legal basis (GDPR) |
|---|---|---|
| Replying to your inquiry and preparing a quotation | Inquiry and communication data | Steps taken at your request before a contract |
| Performing an order: production, inspection, shipping, customs paperwork | Transaction and communication data | Performance of a contract |
| Arranging freight, insurance and customs clearance with our service providers | Transaction data | Performance of a contract |
| Improving the website, catalogue and product documentation | Technical data, aggregate statistics | Legitimate interests |
| Preventing fraud, abuse and fraudulent inquiries | Technical and inquiry data | Legitimate interests |
| Marketing emails about products similar to what you asked about | Business contact data | Consent, or legitimate interests where permitted |
| Meeting accounting, tax, export control and sanctions obligations | Transaction data | Legal obligation |
Where we rely on legitimate interests, we have balanced our interest against your rights and only use the minimum data needed. You may object at any time (see section 9).
4. Cookies and similar technologies
Our website uses a small number of cookies and similar identifiers:
- Essential cookies that keep the site working and remember your cookie choice. These cannot be switched off without breaking the site.
- Analytics cookies (for example Google Analytics) that tell us which pages are read and which products attract interest. Data is aggregated.
- Advertising identifiers (for example the Meta pixel) that, where enabled, let us measure whether an advertisement led to a visit or an inquiry, and show relevant products to people who have visited us. These are only set where you consent, or where local law allows them without consent.
You can block or delete cookies in your browser settings, and you can limit advertising personalisation through your Meta, Google or browser account settings. Blocking cookies does not prevent you from sending an inquiry by email.
5. Who we share it with
We do not sell personal data, and we do not trade it with lead brokers. We share only what is needed with:
- freight forwarders, shipping lines and couriers, to move your goods;
- customs brokers and inspection agents, to clear your goods;
- banks and payment providers, to receive payment;
- our hosting, email and IT providers, who process data on our instructions;
- our accountants, auditors and legal advisers, where necessary;
- competent authorities, where we are legally required to disclose, including export control and sanctions authorities.
Where a provider processes data on our behalf, we require it to keep the data confidential and to use it only for the agreed purpose.
6. International transfers
We are based in China and work with service providers in other countries. Your data may therefore be transferred to, and stored in, countries whose data protection rules differ from those in your own. Where GDPR applies, we rely on appropriate safeguards such as standard contractual clauses, and we transfer only the data needed for the purpose described above.
7. How long we keep it
- Inquiries that do not become orders: up to 24 months after our last contact, then deleted or anonymised.
- Quotations, orders and shipping records: kept for the period required by Chinese accounting, tax and export rules, and long enough to handle warranty claims.
- Website analytics: retained in aggregate form, typically no longer than 26 months.
8. Security
We use HTTPS across the website, role-based access to our systems, and two-factor authentication on business accounts. No method of transmission or storage is completely secure, but we limit access to the people who need it to answer your inquiry or fulfil your order.
9. Your rights
Depending on where you live, you may have the right to:
- ask what personal data we hold about you and receive a copy;
- have inaccurate data corrected;
- ask us to delete data we no longer need;
- ask us to restrict or stop certain processing, including direct marketing;
- receive your data in a portable format;
- withdraw consent you previously gave, without affecting processing already carried out;
- lodge a complaint with your local data protection authority.
California residents have the right to know what personal information is collected, to request deletion, and to opt out of the sale or sharing of personal information. We do not sell personal information. We do not discriminate against anyone who exercises these rights.
To exercise any right, write to sales@kaivoy.com. We reply within 30 days and may ask for proof of identity so that we do not disclose data to the wrong person.
10. Children
Our website and products are intended for businesses. We do not knowingly collect data from anyone under 16. If you believe a child has sent us personal data, contact us and we will delete it.
11. Changes to this policy
We may update this policy when our tools or the law change. The date at the top always shows the current version, and material changes will be announced on this page.
